This Privacy Policy applies to the ULXTRA web platform, mobile applications, and Chrome Extension (collectively, the "Service").

When you choose to use these AI features, certain information that you voluntarily submit may be transmitted to trusted third-party AI providers solely for the purpose of generating the requested AI response.

  • Uploaded images
  • Text selected for AI analysis

ULXTRA may use one or more trusted AI providers, including but not limited to:

  • Other equivalent enterprise AI service providers

Information is shared only as necessary to provide the AI functionality requested by the user.

We require our AI providers to maintain security, confidentiality, and privacy protections consistent with this Privacy Policy.


4. AI Data Retention

Information submitted to third-party AI providers is retained only as long as necessary to process the requested AI functionality, unless a longer retention period is required by applicable law.

Where available, ULXTRA uses enterprise AI services that provide limited or no retention of submitted customer content.


5. Audio Recording and User Consent

Recording features are designed with user control and transparency.

  • Recording starts only after user action.
  • Users are informed before recording begins.
  • Users may pause, resume, or stop recording at any time.
  • No hidden or background recording occurs.

For the Chrome Extension:

  • Recording only functions on meet.google.com.
  • Only the active meeting tab is captured.

6. Data Storage

Your information may be stored securely using trusted cloud infrastructure.

Data is retained only as long as necessary to provide the Service, comply with legal obligations, resolve disputes, or enforce our agreements.

Users may request deletion of their personal information where applicable.


7. Data Sharing

We do not sell, rent, or trade personal information.

Information may be shared only when necessary with trusted service providers, including:

  • OpenAI
  • Anthropic
  • Google Gemini
  • Firebase
  • Secure cloud infrastructure providers
  • Authentication providers (such as Google OAuth)

These providers process information only for providing the requested services.


8. Platform-Specific Information

Chrome Extension

The ULXTRA Chrome Extension:

  • Captures Google Meet tab audio only after user activation using the Chrome tabCapture API.
  • Does not access the device microphone.
  • Reads the current tab URL and title to identify active Google Meet sessions.
  • Stores authentication tokens and user preferences locally using Chrome Storage.
  • Uses Google's Identity API with OAuth scopes including: openid, email, profile.
  • Injects content scripts only on meet.google.com.

Web Application

The web application may process:

  • User-entered content
  • Uploaded documents
  • Session information

Data is transmitted securely using HTTPS.

Mobile Applications

The mobile applications may request permission to access:

  • Microphone (for recording)
  • Camera (if required by specific features)
  • Storage (for importing files)

Permissions are requested only when required by the feature being used.


9. OAuth Authentication

ULXTRA uses Google OAuth and other supported authentication providers.

  • Authentication requires user authorization.
  • Only the minimum permissions necessary to provide the Service are requested.
  • Users may revoke authorization at any time through their Google Account settings.

10. Security

We implement industry-standard security measures including:

  • HTTPS encryption
  • Secure authentication
  • Access controls
  • Principle of least privilege
  • Data minimization
  • Monitoring and logging for security purposes

No security system can guarantee absolute protection, but we continuously improve our safeguards.

  • Start or stop recording at any time
  • Choose whether to use AI-powered features
  • Revoke permissions
  • Delete uploaded content
  • Request deletion of personal information where applicable

If users choose not to use AI-powered features, user-generated content will not be transmitted to third-party AI providers for AI processing.

  • Secure cloud hosting providers

Each provider processes information only as necessary to provide the requested functionality.

Continued use of the Service after changes become effective constitutes acceptance of the updated Privacy Policy.
